Submitting your Evidence

Introduction

At the VMS we want to encourage as many people to take part in sport as possible. Running, cycling, walking however you want to take part it is up to you. In light of our mission to ensure everyone can be involved we have made it easy for people who just want to give the VMS a go to submit unofficial evidence and gain their medal. However, those who want to complete the events with official times and tackle our special challenges can do so at a more competitive level. We have also made it possible to complete a number of challenges as a team. Nominate a team captain and make sure each of your team members submit their evidence to complete the challenges.

Anytime/Rolling Events

Anytime/Rolling events are our version of the Virtual Marathon Series which allow you to complete a challenge at anytime of the year and receive your medal.

Raceday Events

We have a number of standalone events which happen on a set day every year and we will see a large number of people coming together to complete a common goal, a marathon.

Non-Official Times and Evidence

If you are happy completing the challenges in your own time and submitting evidence that you have written on a piece of paper, we are happy with that too. The only caveat is that your times will be recorded as unofficial on our leader boards. You will get that all-important shiny medal though to show off to your friends and family.

To submit an unofficial time

1. Find the email with your login details that we sent you when you signed up
2. Log in to your VMS runners console
3. Click on the event you are participating in
4. As you have paid for your place the submit evidence section will be active
5. Follow the instructions, select individual and unofficial and add all of the evidence required
6. Click submit and wait for confirmation
7. Your time will be calculated for you
8. That is it, job done; your medal is on its way.

What evidence is required for an unofficial time?

You will need to make 1 or multiple submissions dependant on the challenge, so be sure to read the requirements for the challenge carefully before starting. The evidence required is a picture of you at the end of each of your runs or a picture of your running log (A written log showing the progression you have made in your challenge with the times you have achieved)

If you require 8 pieces of unofficial evidence this will mean 8 pictures of you on your runs or 8 pictures of your different runs/walks/cycles on your runners log.

Official Times and Evidence

For those of you who would like to know how you rank against other people you will need to submit official evidence. Unlike the Unofficial evidence, there are a few extra requirements that need to be met. By meeting these requirements, you will record an official time on our leader boards.

To submit an official time

1. Find the email with your login details that we sent you when you signed up
2. Log in to your VMS runners console
3. Click on the event you are participating in
4. As you have paid for your place the submit evidence section will be active
5. Follow the instructions, select individual and official
6. Add all of the evidence required in each step and add your times
7. Click submit and wait for confirmation
8. Your time will be calculated for you and shown
9. That’s it, job done, your medal is on its way and you will be added to the official leaderboard
10. Sign up for your next big challenge in the runners portal

What evidence is required for an official time?

You will need to make 1 or multiple submissions dependant on the challenge, so be sure to read the requirements for the challenge carefully before starting. The evidence required is a picture of your Garmin Connect, Strava, Map My Run, Nike App or any GPS tracking device showing your time and distance relevant to the challenge.

If you require 8 pieces of official evidence this will mean 8 pictures of the times and distances from your tracker and 8 submissions to your runners portal. The easiest way is to take a picture with your phone and upload it.

Team Challenges

There are a number of team challenges available to you through the VMS. If you choose to take part as a team, all of the different team members will need to submit evidence to the participant’s portal. When you first sign up for you challenge if the team option is available you will need to select this and invite your team members. Once the team members accept the invite you are ready to go.

Team

Unofficial Evidence

As a team, you can add unofficial evidence and team members can submit this evidence on any day. Once all of the evidence has been submitted the team captain can verify them to generate your team’s time. Once this is done, each of your team members will receive their medals in the post.

Official Evidence

As a team you must all follow the official evidence submission requirements to ensure your time is added to the VMS leader boards as an official time. Add evidence to the participant’s portal following the guidelines required. You will need each team member to participate on the same day, track his or her times and distance using a fitness tracker, take a photo and upload it to the participant’s portal. Once the team captain has all of the evidence from each team members, they can submit to request verification for their official time. Once verified you will receive your medals and your official time will be added to the leader boards.
